VAT Registration Number: Everything you need to know

VAT Registration Number: Everything you need to know

When you register for VAT (Value Added Tax), HMRC will issue a VAT registration certificate featuring your unique VAT registration number (VRN), also known as your VAT number.

If you operate a limited company or LLP, HMRC will post the certificate to your registered office address. For sole traders or business partnerships, it will be sent to your business address.

In addition to the VAT registration certificate, you can find your VAT number in other places, such as on VAT letters from HMRC, within your VAT online account, or by calling HMRC’s VAT general enquiries helpline at 0300 200 3700.

When will I use a VAT registration number?

Your VAT registration number serves as a unique identifier for your business in all VAT-related matters. Both HMRC and other businesses will use this number to recognize your business for VAT purposes. Additionally, a valid VAT number confirms that your business is officially VAT registered.

Once registered, you will use your VAT number when:

  • Creating a VAT online account with HMRC
  • Completing quarterly VAT returns for HMRC
  • Completing an EC sales list (Northern Ireland businesses only)
  • Paying your VAT bill
  • Reclaiming any VAT paid on goods and services bought for business use
  • Issuing VAT invoices to clients and customers
  • Setting up accounts with certain suppliers
  • Buying goods from certain VAT-registered suppliers
  • Contacting HMRC to discuss your VAT account
  • Appointing an accountant or agent to deal with your tax affairs

If your business’s taxable turnover exceeds the VAT registration threshold, you are legally required to register for VAT. For the 2024/25 tax year, this threshold is set at £90,000.

However, even if your taxable turnover is below this threshold, you can still choose to register for VAT voluntarily. Many small businesses find voluntary VAT registration advantageous. For example, it can enhance credibility with customers and allow you to reclaim VAT on business expenses, ultimately helping to improve cash flow and reduce costs.

What does a UK VAT number look like?

For businesses located in England, Scotland, or Wales, VAT numbers consist of 11 characters, beginning with the letters ‘GB’ followed by 9 digits. For example, a typical VAT number format would be GB 123 4567 89.

In Northern Ireland, VAT numbers start with ‘XI’ instead of ‘GB’, to align with specific trade protocols. So, an example VAT number from Northern Ireland would look like XI 123 4567 89.

In other countries, VAT numbers follow different formats, typically starting with a country code and followed by a unique sequence of numbers or characters.

HMRC provides more information on EU country codes and VAT numbers.

Where do I need to display it?

Once you receive your VAT registration number, you are legally required to display it on your business website (if applicable), as well as on invoices and specific receipts issued to customers.

You’ll also need to provide your VAT number when you:

  • Submit VAT Returns to HMRC.
  • Pay or reclaim VAT
  • Work with certain suppliers, particularly those who need to confirm your VAT status.

Additionally, if you purchase goods or services from VAT-registered businesses in the EU, you should supply them with your VAT number. This allows the supplier to zero-rate (0%) the VAT charge on your order, which can be advantageous for your business.

Do all businesses have a VAT number?

No, not all businesses have a VAT number. Only businesses that register for VAT receive one. This includes those required to register due to their turnover and those that voluntarily choose to register.
